At the moment, if you access a request record on Sky View (as an example) and want to see any associated documents (mainly Word or PDF documents in our case) then you need to download them first. This is a change from Classic View, where the documents just opened right up without having to save them locally first.
This is problematic for a couple of reasons. Firstly, it's a little overwhelming when you're reviewing a grant request to have several different windows open at once. If it would be possible to implement something like a preview pane, where I could just click the document name and a preview would pop open within the BBGM window, allowing me to flick through several documents within a short amount of time, that would really improve the workflow.
Secondly, it's causing a bit of a data security issue on this end, as we now have, in some cases, some quite sensitive documents (e.g. bank statements with bank details) being downloaded to the devices of our colleagues, rather than only being held centrally in the database.

I have checked and you are still not able to preview a document. We are still having to download documents to preview ...?? Can someone from BB please contact me directly

A different system we work with recieved a similar request and implemented within 24 hours. BBG is larger, but after a year you would think they would have a response to this request at least.
It's infuriating to have to download a doc when I just need a quick glance at it.
Having to replace/upload a doc, rather than just save/close after creating or editing it, is also infuriating.
We currently have two educational grants open. They have been open for two weeks and we have 1400 in progress applications. Each one has at least two documents that we must view – an ATO Notice of Assessment and a Centrelink statement. Both contain the applicant’s tax file number. The grants are open for another 2 weeks by which time we could have over 2000 applications.
In the SKY platform, to assess these applications we would have to download at least 2800 documents to our laptops. If we allow 3 mins per document to download and view, that’s 140 hours of extra time – 6 days of extra work!
Not only that, we would be downloading extremely sensitive information from the safety of the Blackbaud server to unsafe laptops. This opens Variety up to penalties for non GPDR compliance and is not something we can risk.
This feature MUST be introduced before we move to SKY.
The removal of this feature from SKY has significantly increased the time it takes me to identify the relevant documents that I need to download. Unfortunately, all of this additional time has to be on-billed to our NFP client.
We urgently need this feature back in BBGM.
I am not sure why this key feature was left out in the SKY design.
Our team uses this preview feature throughout the lifecycle of a grant:
i.e. assessments stages, payment requirements, progress and final reporting requirements, etc. Not to mention accessing photos for case studies/feature stories/donor reports. …I’ve estimated our Assessment team will use this Preview feature a minimum of 65,000 times per year!
Not having this preview feature in SKY will reduce our productivity! Impacting our grant program timelines! …In SKY, it’s an additional 3 clicks to look at ONE document not to mention the lag between each click and the time it takes to download. SKY is not very responsive – i.e. it thinks a bit after every click.
To add, having to download the document to view, is a potential data security risk. i.e. Financial information loaded and saved to the Download folder devices.
We urgently need the ability to preview documents without downloading them. We review literally thousands of documents every year, most of them very sensitive information including health and financial records. We could be caught in an illegal data breach if these documents are downloaded and stored on local pcs or laptops. We CANNOT move to Sky until this problem is fixed. This is a complete block to us using the Sky system and it MUST be fixed before we can move platforms. We need to be able to scroll through uploaded documents in the same way as we can in BBGM classic.
Thanks for your feedback, Deena. It's helpful to have the document open automatically, however even checking that option doesn't prevent the document from being downloaded.
If you are using Chrome, you can go down to the Chrome taskbar on the bottom left hand side and choose "Always open files of this type." It will automatically open them without having to save them going forward.
