One of the updates to BBGM launched on 13 September 2022 was that generating emails now happens in the background. Once emails have been generated, the user receives a green toast message to say that the results are ready to be previewed:
Generate e-mails and assigned reviewers in the background
We added email correspondence and assigned reviewers to the list of processes that generate in Grantmaking's background. Grantmaking will notify you when:
The process begins.
The results are ready.
A warning or error occurs.
If you leave Grantmaking before the results are generated, you will receive results the next time you log in.
I vote that this change is reversed so that users must wait for the email generation process to complete, then review the emails before sending, without leaving the generation process.
We have had a number of occasions now where emails have not been sent because the green toast message has been cleared because it looks like any other message, or, users have logged out since the email generation started and have not realised when they log back in that the green toast message needs attention. In some cases, this has led to emails being sent out to applicants some months after their generation when users have 'cleared' the green toast messages that keep popping up when they log-in.
I think it is too risky to split the process in this way and the user should not be able to move on until they've had the email preview screen and decided how to proceed.
Suggest that this should be a User Preference
